User Settings

In your Omeka installation, site administrators, or "Super Users," may give others access to your archive.

Add and Edit Users

1. After clicking on the Users tab in the main /admin navigation, find the users form on the right side of the screen.

2. Fill in the fields for the new user, assign them a role (see below for explanations), and make them active.

3. New users will receive an email with the username you assigned to them and a password. Once logged in they can change their passwords.

4. Super and Admin users can edit usernames and passwords for all site users just in case someone forgets their login information.

Delete Users

There is not a button available to delete users in the admin/users interface yet, but there is a workaround.

1. Determine which user you want to delete and edit their profile.

2. Look at the URL in your browser, it should look like this: /admin/users/edit/1 (with the number corresponding to the appropriate user).

3. Change the word "edit" to "delete" in the actual URL, and hit enter. You will NOT get the opportunity to confirm or undo this action, so be sure that this is the user you want to delete.

User Roles

Omeka allows you to give different backend users different levels of access to your archive. Read through the following list of actions available to users to determine what works best for your project team members.

You may also find explanations of the user permission levels in the /admin side of your installation (youromekasitename.org/admin/users/roles)

Super Users

  • Can do anything and everything in the installation.

Admin Users

Item

  • add items
  • edit items (including those from other users),
  • tag items
  • view all the items that are not public
  • remove tags by other users
  • make items public (or not public)
  • make items featured

Collections

  • add/edit/delete collections, view collections that aren't public

Entities

  • add/edit/delete entities
  • view the email address for different entities (lower levels can't do this because its a privacy issue)

Files

  • edit/remove files

Tags

  • rename tags (as in, change the tag 'foo' to 'bar')
  • delete tags for all items (as in, remove the tag 'katrina' from the whole system at one time)

Types

  • add/edit/delete the available Types

Users

  • browse users
  • show user info
  • add new users
  • edit existing users
  • delete user accounts
  • view the list of user roles (and edit roles for existing users - with the exception of making them super users)

Exhibits

  • add/edit/delete exhibits
  • view exhibits that are not public

Contributor Users

  • tag items
  • add new items
  • edit their own items
  • delete their own items
  • show their own items which have not been made public yet

Researcher Users

  • view items that are not public
  • view collections that are not public
